UPO, a certificate connected with a pending residence application and a passport stamp are not three names for a residence card. They arise at different stages and should not be used interchangeably when explaining your status to an employer or planning travel.
Start with the document’s purpose
| Document | What to check |
|---|---|
| Saved application draft | Work in progress; do not confuse it with completed submission |
| UPO | Official acknowledgement associated with the electronic submission |
| Certificate following office verification | A later document in the current residence-application process |
| Older passport stamp | Evidence associated with the earlier filing system, subject to the relevant legal conditions |
| Residence decision and card | The outcome and residence document, not merely evidence of filing |
The Office for Foreigners explains the sequence: after signing and sending, the applicant can save the application and UPO; after official verification and approval of the application, a certificate can be downloaded. That certificate replaces the former stamp step in the new process.
Keep the sequence clear
Save the application as submitted and the acknowledgement together. When a further document becomes available, add it without replacing the earlier evidence. Use names that include the document type and date, so you do not send a draft when someone asks for proof of filing.
If you cannot find an acknowledgement, check the actual status and the MOS FAQ. A completed payment, saved form or employer signature does not independently prove that every final submission action occurred.
What to tell an employer
Describe the actual stage: application submitted, document available, request outstanding or decision issued. Do not summarise every stage as “I have a residence permit”. HR may need to assess lawful stay and the right to perform the particular work separately.
Read working while waiting for that distinction. A filing acknowledgement should not be used as a universal employment authorisation.
What to check before travel
The Border Guard’s explanation distinguishes the stamp from a document authorising re-entry or Schengen travel. The change to electronic evidence does not mean that a pending-case certificate becomes a passport, visa or residence card.
Assess the documents valid on the planned return date. See travel while a case is pending before relying on a pending application for a journey.
A simple record to maintain
Keep a list of the submission date, acknowledgement, later certificate, case reference and any requests. Share only what is needed through the agreed channel. If the document’s meaning is unclear, ask about that specific document and procedure instead of relying on how a similar file was described online.
