An electronic residence application does not necessarily remove the need to appear personally at the office. The appointment is a procedural step, not confirmation that the permit has already been approved.
Follow the request for your own case
The Office for Foreigners’ MOS guidance describes a summons for personal attendance, including fingerprints, a signature specimen and presentation of the original passport. The request may also concern additional information or documents. The MOS explanation of personal attendance gives further procedural context.
Use the actual letter or official appointment instructions. An old address or booking method from a discussion group may concern a different office, year or purpose.
Prepare before the visit
- Confirm the date, time, office location and case reference.
- Read the complete request and list everything it asks you to bring.
- Check the original passport and any other specified originals.
- Keep copies of the submitted application and relevant filing evidence accessible.
- Identify questions or discrepancies you need clarified.
- Agree attendance arrangements with your representative in advance.
This preparation list does not replace the summons. Age-related or other exceptions need to be assessed under the applicable procedure; do not assume another person’s appointment experience determines yours.
If something has changed
Tell the person handling your case if your passport, address, employer or study situation has changed. A visit can expose inconsistencies between the original file and current circumstances. Prepare a clear explanation and the relevant evidence rather than hope the change will go unnoticed.
If you cannot attend, contact the office through the prescribed channel promptly and ask what action is required. Keep evidence of the obstacle and the communication. Simply missing the visit and waiting for another invitation is not a reliable plan.
At and after the appointment
Listen for any further requests and ask for clarification if you do not understand what must be provided. Keep any record or confirmation received. Write down outstanding tasks while the details are fresh, then agree who will complete each one.
Do not tell an employer that a permit has been granted merely because fingerprints were taken. Continue to assess your work and residence position using the actual documents and stage of the case.
STAYLEGAL support in Warsaw
Accompaniment to office appointments in Warsaw is part of the confirmed service standard. We agree the practical arrangements for your case. For offices elsewhere in Poland, the arrangements are discussed individually; the Warsaw offer should not be read as automatic in-person attendance in every city.
