MOS applications in Poland: your role and your representative’s role

What changed in April 2026, who signs the application, and how to prepare the employer or university side of your case.

For the residence procedures covered by the new MOS system, preparing an application is not the same as submitting it. You need to complete the required steps, including your own signature. A representative can help organise the case, but should not ask you to hand over your login credentials.

What changed in April 2026?

The new electronic system launched on 27 April 2026 for temporary residence, permanent residence and EU long-term residence applications. There are exceptions, including specified ICT procedures and certain family applications concerning a person outside Poland. Check the official explanation before choosing a filing route. An old paper application and a new electronic application are not interchangeable.

Who does what?

Participant Preparation task
You Check your identity information, maintain access to your own account and complete the personal signing step
Employer or university Supply the information and electronic signature required for its part of the application
Representative Organise the file, check consistency and explain the actions and correspondence relevant to your case
Authority Examine the application and issue requests and the decision

The current process uses an electronic link for the employer or university’s annex. Choose a contact who can arrange the correct signature, not simply a general inbox nobody monitors. See the MOS questions and answers.

Prepare before the final day

Make a short preparation sheet with your current residence deadline, the procedure you are applying under, the person handling each document and the documents still missing. Ask your employer or university to confirm who will respond. Check your electronic signing method in advance.

At STAYLEGAL we prepare your application, coordinate documents with your employer or university and guide you through the filing process. The personal actions required from you remain yours; support does not remove them.

Keep evidence of the actual submission

Save the submitted application and UPO after successful signing and sending. The later certificate issued through MOS after the office’s verification is a different document. Keep both with the case reference. Do not use a screenshot of a saved draft as proof that you applied.

Where will the decision arrive?

Do not assume that every communication will appear only inside MOS. The authority sends the decision to the indicated delivery address, including a representative’s address where applicable. Confirm who monitors it and how you will be told about a request. Read the separate guide to UPO, certificates and stamps.
