While a residence case is pending, the most useful routine is to keep the record current and know who is responsible for the next action. Constantly refreshing a status page does not replace checking correspondence, deadlines and changes in your circumstances.
This guide is about organisation. For processing-time expectations, see how long a residence permit takes.
Create a one-page case record
Record the authority, procedure, application date, case reference and representative’s details. Add where letters are delivered and the last confirmed procedural action. Keep this summary separate from your document archive so you can quickly explain the current position.
| Record | What to keep |
|---|---|
| Submission | Exact application, attachments and proof of filing |
| Correspondence | Complete letters and delivery evidence |
| Responses | What was sent, when and by which channel |
| Changes | Dates and supporting documents for new circumstances |
| Next action | Owner, due date and what completion will look like |
Agree who monitors correspondence
If a representative receives letters, confirm how you will be informed and how requests for your documents will be handled. Keep contact details current. The MOS FAQ concerns the electronic system, while procedural delivery and deadlines also involve the Code of Administrative Procedure. Do not assume that checking one inbox is always enough.
Check changes before they become gaps
Review events such as a new passport, new address, employer change, graduation, interruption of studies or changed insurance. Ask which events need formal action and keep evidence of what was done. The right response depends on the permit basis and stage.
An illustrative routine is a monthly document check plus immediate reporting of significant changes. That is an organisational suggestion, not a replacement for any shorter legal deadline.
Keep work and travel decisions separate
An application in progress does not automatically settle permission to work or return from a trip. Before changing a job or buying travel, revisit the actual documents. Use working while waiting and travel while waiting.
If there has been no visible progress
First check whether something is outstanding, whether the office has sent a request and what stage is actually confirmed. A focused status enquiry should contain the case reference and relevant dates. Repeated copies of the same message can make your own records harder to follow without resolving the question.
If you want to assess a formal remedy, read delays and ponaglenie. STAYLEGAL can review the available record and agree any further scope, rather than promise a result from a generic reminder.
