A student residence application is more than a university admission letter. First identify your actual study route, then organise the personal documents, university evidence and financial and insurance documents that support it.
This checklist is for preparing a conversation and a file. The authority may require additional evidence for your circumstances. Full-time university studies, part-time programmes and language courses should not be treated as one identical procedure.
Start with your study route
Record the institution’s full name, course, study mode, qualification level and planned dates. The official studies guidance explains the relevant residence grounds. Check the institution’s status against the Ministry of Interior information where approval is relevant. A marketing description of a course does not replace its legal classification.
Organise four groups of documents
| Group | What to prepare for review |
|---|---|
| Identity and application | Passport, current residence basis, application information, compliant photograph and payment evidence |
| University | Current evidence of admission or continuation, course details, required annex, and tuition information where relevant |
| Finances | Evidence covering maintenance, accommodation, study costs and return travel as applicable |
| Health insurance | Evidence of qualifying coverage, validity dates and payment where required |
The electronic application has its own attachment and signature requirements. Use the MOS guide rather than an old list instructing every applicant to print paper copies. The university’s electronic annex is part of the current MOS process.
What should you ask the university?
Ask which department handles residence documents, who can sign the required annex and how long it needs to prepare the information. Confirm that the course name, dates, study mode and tuition status are consistent across documents. A document for last year’s course may not explain this year’s application.
Keep a record of your request and follow up on missing items before your residence deadline. If your university cannot provide something in time, have the situation assessed promptly; simply waiting for a perfect file can create a separate problem.
Check the documents as a set
- Are your name and passport details consistent?
- Do course dates match the period you are explaining?
- Is tuition already paid, partly paid or still due, and is that evidenced?
- Do financial documents identify the person whose funds are being relied on?
- Does insurance cover the relevant period and territory?
These checks help organise a file but do not decide eligibility. Use our separate guides to proof of funds and insurance for those topics.
